Weekend Holy Mass Checklist
- Before set up
- Walk around campus to make sure all gates are opened
- Wire gates are correctly tied and will need ties
- Necessary gates are locked so guests to not enter
- Signs are posted correctly outside to remind people of main entrance
- Treat area as if each person is coming to mass for the first time
- Set up – 1-hour before mass begins
- Table with sign for COVID symptoms (English or Spanish)
- Clip board with list of attendees and pen
- Thermometer to check temperature of volunteers
- Entrance clicker – to count people
- Volunteer tablet – to check in volunteers
- Staff lead person or assistant to help with checking in volunteers
- Have a clipboard reading for parking lot guests – will need one main volunteer if possible or extra staff person
- Volunteer Arrival and Positions
- Greeter – Entrance: Person who will be assigned to stay at the front of the main entrance to:
- Welcome guests
- Ask list of questions – ensure correct answers
- Scan ticket or check person off list
- Remind them to keep mask on at all times
- Sends to next greeter – for hand sanitizer and further instructions
- Greeter – Extra: Person who will be assigned to entry way and reminds guests:
- To hand sanitize before entering church
- That masks must cover nose and mouth at all times
- Then sends them onto the next greeter
- And if line is starting inside church for seating will hold at door
- Also does not let anyone in without going through the screening process first
- Greeter – Seating (1): Person who stands between entrance and baptismal fountain, and will:
- Inform guests that they are to stay in their seat for the entire time of mass
- We do not allow people to walk around or visit with others
- Keep face masks on at all times
- We sit guests to help with 6ft distancing guidelines
- Will be seated by the next greeter
- Will ask if ADA assistance is needed at the dismal of mass? (if appropriate)
- Greeter – Seating (2): Person will take guests to their seats of the open pews
- Ask family / individual to sit 6 feet from others
- If the first group in the row – Remind them to move all the way down the pew to the wall
- And will explain that this allows for other to sit in the pew without having to walk around or over them
- Reminds them to stay in their seat
- Informs them that communion will be brought to them at mass
- Greeter – Parking Lot: Two individuals who will help guide cars in the parking lot
- One individual will wait at entrance of parking lot to ask if family is attending lot mass or in church mass
- If lot mass they will park at one of the marked cones
- If mass in church they will park at the fence along the back of the parking lot
- The other individual will walk to each mass lot car and provide them with the instructions on how to watch mass in the car – use the QR scanner
- QR Scanner steps
- (1) open up camera – as if you are to take a picture
- (2) hold phone over QR code
- (3) icon will appear on screen
- (4) driver presses icon
- (5) OLG website appears and the scroll to mass and click play
- EM, LECTORS and Martha Ministry
- Asked to help if lines begin to form outside for entrance (if over 65 we prefer they stay at their assigned seat)
- Help outside by greeting others and providing with information regarding symptoms so they are ready to enter once at the greeter
- During Communion – Greeters help is required: Be sure to share this information with them as they arrive and get organized
- Greeters – Seating: Will walk through each row and provide hand sanitizer as the priest begins to explain the process to the guests
- Prayers may be happening during this time so ask them to be mindful and pause as needed
- Greeter – Entrance and Extra: Will walk behind the EM and Priest to provide hand sanitizer after they receive communion
- They should give the person a moment to consume in a prayerful way
- Greeters – Parking Lot: Will walk down to parking lot to provide hand sanitizer to each person in the car (if only a few) or the driver (if many cars) before the EM distributes and will help to ensure communion is consumed by each visitor
- Greeters – Seating: Will walk through each row and provide hand sanitizer as the priest begins to explain the process to the guests
- At Dismissal – Greeters help here too: Be sure to share this information with them as they arrive and get organized too
- Greeters – Seating: will dismiss each row once the first verse of the closing song is complete
- Mary side – starts from front and walks out door at massey side by Mary
- Choir side – starts at back and walks out 5th street door
- Remind everyone to stay 6 ft apart
- Greeter – Extra: stands at back door (5th street, choir side exit) with collection basket and reminds people to hand sanitize as they leave
- Greeter – Entrance: stands at exit door by Mary with collection basket and reminds people to hand sanitize as they leave
- Martha Ministry – stands at main entrance (Massey and 5th) to remind ADA visitiors to hand sanitize as they exit
- Staff member stands in the middle main isle to instruct people who do not know where they will be exiting or look confused
- ADA access is provided for those who need it – staff member will let those know and remind them to hand sanitize as they leave
- Martha Ministry and Cleaning
- Martha Ministry – Person at the end of mass that gathers any volunteers and provides them with cleaning duty (best if 6 people including Martha Ministry leader to help – can be done with a minimum of 3 people) and takes 10-20 minutes depending on number of volunteers
- Supplies: located in cleaning closet at back of church and will need to gather:
- Spray bottles
- Gloves
- Wipes (for podium if needed)
- Assignments:
- 2 people to clean Mary side of pews – one starts in the front and one starts in the back
- 2 people clean Choir side of pews – one starts in the front and one starts in the back
- 1 person to clean the bathrooms, push hand sanitizers at the doors and all door knobs, and ambo
- 1 person to spray down all railings outside of church and down to the parking lot
- How to Clean Pews:
- Mist Spray entire seating area in pews
- Mist Spray back of all kneelers
- Put down kneelers and mist spray top of kneelers
- Mist Spray back of pews (especially where arms rest)
- On “No sitting pews” only seating area and back of kneelers
- Go back after done with all rows and put the kneelers that are down back up for next mass
- How to Clean Bathrooms / Wall Hand Sanitizers / Ambo:
- Go into each stall and spray mist toilets, handles on doors (front and back) and toilets
- Spray the counter tops and floors as you walk out
- Spray the door know to enter and exit
- Spray each Wall Hand Sanitizer (6 total)
- At Ambo – spray top, where the lector stood and all the seats for the lectors and Eucharistic ministers
- How to Spray railings outside and down to parking lot
- Use the large sprayer
- Pump to get fluid in the sprayer
- Go to each railing
- 5th street exit at back of church
- Massey / 5th Street entrance
- Our Lady exit on Massey
- Railing past children’s bathrooms outside leading down to parking lot
- IF LAST MASS OF DAY:
- Staff leader will need to spray down the entire floor of church
- This should only be done at end after everyone has left
- Close all the doors – to ensure no one else will walk in
- Grab two sprayers (it makes it faster) and mist spray the floor
- Begin at Mary side at back of church and spray walking backward to Mary
- Once you reach Mary, walk around to area between front seats and seat facing ambo and spray to middle isle
- Walk to choir side at the back of church and spray until you reach piano
- Turn and spray walking back to middle isle
- Spray down middle isle walking back to the baptismal fountain
- When you reach the back of church spray from 5th street exit door to main entrance door
- Make sure the table from outside has be brought in
- When you reach the entrance door spay the hall to bathrooms and then exit leaving the sprayers at the table inside the entrance doors and shut doors behind
- Greeters – Seating: will dismiss each row once the first verse of the closing song is complete
- One individual will wait at entrance of parking lot to ask if family is attending lot mass or in church mass
